A guide for business owners / Handling inquiries

Deliver inquiries without losing them: website, CRM and Telegram

A reliable process begins with saving the inquiry and assigning a responsible person. A CRM or another working data store helps track status, while Telegram helps people notice new events. A chat notification is useful, but does not itself guarantee that the inquiry was saved or picked up by someone.

Describe the current process first

Trace one recent inquiry: where the customer wrote, which details you received, who replied and where the agreements remained. Often the problem is not the absence of a CRM, but a lack of clear steps connecting these actions.

If there are few inquiries and one person handles them, simple record-keeping may be enough initially. When several employees reply across different channels, a shared record, responsible person and statuses become more important. Automation should support this process, rather than create another list that nobody checks.

Define the minimum information needed for a first reply. Do not ask for a detailed brief if a service, short task description and contact are enough. More fields mean more explanation of why they are needed and who will use them.

One possible route

  1. The visitor fills in a form; the website checks required fields and formatting.
  2. The system saves the inquiry and receives confirmation with a record identifier.
  3. The visitor sees a clear outcome: the request was accepted or an error occurred.
  4. The responsible person receives a notification with a brief summary and link to the record.
  5. A staff member opens the inquiry, contacts the customer and updates the status.
  6. If notification delivery fails, the record remains in the system and the error enters a retry or review queue.

What the CRM does and what Telegram does

The main records are a useful place to store an inquiry's state: new, assigned, clarifying the task, proposal sent, agreed or declined. Names can differ; what matters is that they make the next action clear.

Telegram works well as a notification channel: a request arrived, an error occurred or action is needed. A notification can include the record number and a link. This avoids copying all customer details into a shared chat or using message history as the only archive.

A personal chat with the owner follows a different process. With a normal website link, the visitor writes themselves, and the system does not automatically receive the contents of that conversation. Adding a Telegram button and setting up a bot integration solve different tasks. A normal link click cannot be counted as an inquiry saved in a CRM.

Failures to plan for

For the Telegram Bot API, a successful method response represents the result of an API operation, not proof that a person read the notification and replied to the customer. The employee's handling step needs to be tracked separately.

If a bot accepts incoming messages, duplicate events and delivery errors also need defined handling. These details are discussed with the developer of the chosen integration; there is no universal instruction for every CRM.

Failures to plan for
SituationExpected behavior
The customer presses Send twiceThe duplicate is recognized and no extra order is created
The CRM is temporarily unavailableThere is no false confirmation; saving or a clear retry path is provided
Telegram rejects the notificationThe inquiry is saved and the error is visible to the responsible person
An employee misses the notificationThe new record can be found in the shared list
The integration is disabled or access changesStatus checks and a recovery process are available
The request is spamIt can be separated from real inquiries

How to accept an integration

Do not test failures by switching off a live service during busy inquiry handling. Such scenarios need an agreed test environment or a safe simulation. The report should distinguish real delivery from a check using a simulated response.

  • Submit an agreed test request and find one record with the correct fields.
  • Check that the success message corresponds to a saved record and the notification links to that record.
  • Repeat the submission and make sure one action does not produce extra inquiries.
  • Check invalid fields and clear error messages on a phone.
  • Reproduce external service downtime and recovery in a test environment.
  • Make sure the responsible person can see new records and mark the next step.
  • Document who owns access, updates the integration and investigates errors after handover.

What counts as a result

Separate the saved record, notification, employee reply and relevant inquiry. Together they show where the process stalls. Combining everything into a single ‘leads’ number hides delivery and handling problems.

For the first integration discussion, prepare the website and CRM names, an example of required fields without personal data, notification recipients and a list of statuses. Access details and tokens are not needed at this stage. First establish whether the chosen system offers a suitable connection method.

Automation reduces manual transfers between systems, but does not decide by itself whom to reply to or what to offer. The process must retain an owner who notices errors, updates the rules and takes responsibility for continuing the conversation.

Let’s discuss your task

Send your website link and describe where inquiries arrive now, where they should be stored and who handles them. We can discuss a possible route and how to verify it.

A message to get you started

Hi Vladislav! I read ‘Deliver inquiries without losing them’. Website: [link]. Inquiries currently arrive in [where]; we want to save them in [system] and notify [who/where]. Can this flow be set up?

Adjust it to your task. Opening a chat does not send a message.
