Working on your task / Business automation

Automation for inquiries and business workflows

I can help connect recurring actions into a workflow: receive an inquiry, save data, assign a responsible person, calculate values and show status. We start with one area where the manual steps and rules can already be described.

Tasks that can be automated

A useful starting point is visible in everyday work. The same data is copied from a message into a spreadsheet, a manager repeats a calculation using a known formula, or staff ask about order status across several chats. We examine that area first and define which result should appear without re-entering the data.

  • Collect inquiries in one place and assign a responsible person using a clear rule.
  • Transfer data between a form, spreadsheet and working system after checking the available integration methods.
  • Calculate costs, requirements or stock from agreed input data.
  • Show employees an order's status and the next step.
  • Prepare summaries from records already maintained in day-to-day work.

Process rules and boundaries come first

We examine what triggers the process, which data arrives, who makes decisions and where the result is stored. Each automated step needs a rule and a clear output. If the owner decides the price afresh each time, that decision can remain with a person while we automate collection of the input data.

We discuss exceptions separately: incomplete inquiries, duplicate submissions, cancellations, calculation errors and unavailable external services. We define what the system does itself and when it hands the task to a staff member.

How we choose an implementation

The solution depends on your current tools. Connected spreadsheet records may be enough in one case; another may need a separate web interface or data exchange with an existing system. First, we check where working data lives and how staff use it.

Connecting a specific CRM, business management system or messenger is assessed after checking its documentation, subscription plan and access. You do not need to buy a new platform in advance. If an existing tool meets the need, we will consider its capabilities.

How the work progresses

  1. We describe one existing process using a concrete example: input data, people's actions and the result.
  2. We agree on rules, exceptions, storage and responsibilities, then define the first version and estimate.
  3. We build a working flow with test data and show it to the staff member who will use it.
  4. We check both the normal path and failures, and refine messages, statuses and a manual way to continue work.
  5. We agree on connecting it to daily operations, handover and support. Expansion is discussed after verifying the first version.

What we check at acceptance

Checks are built around your task. If the goal is to reduce manual work, we record its volume before launch and compare equivalent operations afterward. Showing an interface alone cannot demonstrate savings in time or money.

What we check at acceptance
ScenarioVerifiable result
A normal inquiryData is saved, a responsible person is assigned and the next step is visible.
Duplicate submissionThe agreed duplicate rule works; an accidental repeat does not trigger an extra action.
Insufficient informationIt is clear what needs clarifying and who should do it.
External service unavailableThe error is visible, data is not marked as successfully delivered, and retry or manual handling is available.
Change or cancellationThe status and related calculations update according to the agreed rules.

What is needed for a cost estimate

Describe one recurring operation, the systems used and an example result. It helps to know how many people are involved, how often the task occurs and which exceptions arise. This information helps define the boundaries of automation.

Cost and timing depend on rules, data sources, integrations, access rights and the amount of historical data to migrate. External service subscriptions and support after handover are discussed separately. Work can be remote; we agree on a way of working that suits your team.

Next step

Let’s discuss your task

Describe one operation you currently have to do manually. Explain where the data comes from, who works with it and what result you need. We can discuss automation possibilities and a first version.

A message to get you started

Hi Vladislav! I want to automate [process]. Data currently comes from [source], and a staff member then [actions]. We use [systems]. We need [result]. The main difficulty is [obstacle]. Can we discuss a first version?

Adjust it to your task. Opening a chat does not send a message.
